Other settings are settings that apply across the company, which must also be completed for Envoice and accounting to operate together, for example control for the existence of balanced recordings or determining the accounting currency used by default.
Accountant’s e-mail: this e-mail address is used for notification in case of a digitisation service if situations that have not been agreed arise in the work of the digitiser.
Transfer date: the invoice date as well as the date of the purchase invoice arriving at Envoice can be selected as the by default date of the economic transaction taking place; it is always possible to specify the transfer date with a specific invoice.
Envoice payment system: enables to add receipts and payments to invoices and prepare payment files; if there is no tick here, the payment and receipt functionality is not displayed for the company.
ERP code completed with registry code: a tick is added if there is a tick on the previous row and the contact code field may be completed with the company registry code.
Check the recording at each approval: a tick is added if recordings are generally made before the approval round and it is important that the accounting entry is in balance during the entire approval round.
For final approval the account must be recorded: a tick is added if recordings are generally made at the end of the approval round, i.e. the accountant is last in the approval round; the accounting entry may be out of balance during the approval round (for example there are no recordings for some invoice rows).
Warn before determining an approval round if not recorded: a tick is added if recordings are generally made before the approval round and otherwise a warning notice is desired.
Approval round e-mails: the drop-down menu allows to select as an option whether the link to the invoice that requires approval is sent via e-mail immediately after determining the approval round or once per day or links about approval rounds are not sent via e-mail. This choice is made on a company basis. In addition it is possible to add a user-based tick for the data of all users if for example some user does not want to receive approval notifications via e-mail because it burdens the mailbox and the user is a regular Envoice user. If here it is selected that approval links are not sent via e-mail, these are not sent to any user of the company.
Default currency: you can choose the currency in which the company’s accounts are held; invoices in other currencies are re-calculated on the basis of the European Central Bank currency exchange rate.
Official language: you can choose the language that is used by default for this company.
Company’s time zone: the time zone of the region the company operates in is entered here.
Rounding differences account: ledger account into which the purchase invoices rounding differences are transferred, which arise from the differences of the calculations and parameters of the submitter of the invoice and Envoice’s system, if the user wishes to use Envoice’s solution for rounding differences automatically.
Rounding differences VAT code: calculating rounding differences is without VAT and here the code for the VAT exempt rate used in the company and set up under VAT rates must be added.
E-invoices: if the company wishes to receive e-invoices, this can be switched on/off here. In addition this “widget” is also on the company’s desktop.
Budget type (only for companies with an Enterprise package): regular – the budget “tree” is built by themselves; code-based – budget “tree” is prepared on the basis of account and dimensions codes (used for example in the public sector).
Time allowed for a person to approve an invoice: number of working days is entered after which a reminder is sent via e-mail that the invoice is still not approved.
Send the approver reminders: it is possible to select from the drop-down menu: once, repeatedly or reminders not sent
